Direct booking and WhatsApp assistant for a 20-room hotel
A 20-room hotel takes bookings directly, collects payment online and answers travellers on WhatsApp with an AI assistant.
Project overview
This scenario illustrates what we build; it is not a client reference.
This scenario shows how a 20-room hotel or guesthouse can take bookings directly on its own website, in several languages, with online payment. An AI assistant answers travellers' common questions on WhatsApp and hands over to the team for the rest. Photos and short videos shot on site show the rooms as they are.
Client challenges & requirements
A 20-room hotel takes its bookings by phone and writes them in a paper register. Most nights come through booking platforms, which take a commission on each one. Travellers write on WhatsApp at any hour, in French, English or Spanish, with the same questions: the price, breakfast, the airport shuttle, whether a room is free.
The receptionist answers between two check-ins. When an answer waits until the next day, the booking goes elsewhere. When two calls book the same room, someone has to call a guest back to apologise.
Main objectives
Take bookings directly on the hotel website, in French, English and Spanish
Collect a deposit or the full stay online through a payment provider
Answer travellers' common questions on WhatsApp without tying up the front desk
Show the rooms and the place with photos and short videos shot on site
Project solution
-
The website is built with Laravel, in three languages, with a booking calendar linked to the room planning: a room booked online is no longer offered by phone. The traveller pays a deposit or the full stay through a payment provider chosen with the hotel, by bank card or by Orange Money for local guests. The AI assistant runs on the WhatsApp Business API.
-
It answers from an information sheet written with the hotel: rates, opening hours, breakfast, shuttle, cancellation terms. If the question falls outside that sheet, or the traveller asks to speak to someone, the assistant passes the conversation to the front desk with the message history. The front desk keeps control of every booking from a simple back-office that works on a phone. One day of shooting on site provides the room photos and three short videos for the website and social media.
-
We start small
The website and payment first, the assistant next, once the information sheet is stable.

Frequently asked questions
No. They remain a source of guests. The goal is that a traveller who finds you on a platform, or through a friend, can book directly on your website. You keep both channels and track the share of each.
It tells the traveller and passes the conversation to the front desk, with the messages already exchanged. It never guesses a price and never confirms a booking on its own. If the front desk is closed, it says when someone will answer.
The website relies on a payment provider chosen with you, depending on the cards and mobile wallets your guests use. A foreign traveller pays by card, a local guest by Orange Money or MTN MoMo. The money lands in the hotel account; the website does not hold it.
